What counts as an entry
An entry is one driver, in one class, at one race event.
Not counted: club memberships, season number reservations, season items and practice passes, pit reservations, add-ons, transponder rentals, practice-day signups. Withdrawn entries don't count.
A driver racing two classes at one event is two entries. The same driver racing Saturday and Sunday of a weekend double-header is two entries.
Your club console shows the running season total, so the number on the invoice is one you've been watching all year — never a surprise.
How billing works
Who gets billed
The organization that collects the entry fees is the organization that is billed. A travelling series racing at your track is the series' bill, not your club's — hosting never counts against your allowance.
One bill in spring, one true-up at season end
Your tier is billed once in spring. If the season runs past your tier, the overage ($1.00 per entry) is settled once at season end — no surprise invoices trickling through the summer.
First season, no history?
Estimate your season from last year's calendar, pay that tier up front, and we true it up at season end. If you guessed high, the difference carries into next season.
You can't lose by picking too low
A tier step is $800 for another 1,000 entries; overage is $1.00 per entry. Upgrading is always a mild discount, never a penalty — and mid-season you just pay the difference to the next tier, nothing retroactive.
When does Unlimited make sense?
Above roughly 4,000 entries, Unlimited costs less than Regional plus overage. Unlimited covers one club with no entry cap — a promoter group with multiple tracks is multiple organizations, and its own conversation.

Questions clubs actually ask
Do our racers pay anything to PoleDay?
No. No service fee, no booking fee, no “convenience” charge. The entry price your club sets is what they pay (plus normal card processing if paying online).
Who holds the money?
PoleDay collects all online payments — entries, pit spots, protest fees — on its Stripe account, and transfers the balance to your club after each event. Nothing for your club to set up, and the running total (collected − refunds − transferred) is always visible in your club console. POS payments at the desk never leave your building.
Can we keep taking cash and cards at the desk?
Yes — that's POS mode, included. Racers register online for free, their spot is confirmed instantly, and your desk marks them paid when the money clears your own system.
Is our data ours?
Completely. Entry lists, results, and timing export in Orbits-native formats any time, and CSVs are one click away.
